The staff portal: a guide for teachers and staff

How teachers and staff sign in and find attendance marking, diary, marks entry, payslips, leave, notices and their own HR records.

The staff portal is where teachers and other staff handle their daily class work and their own HR records: marking attendance, writing the diary, entering marks, checking payslips, applying for leave and reading notices.

Before you start

  • The school gives you a Staff ID and a password. If you have not received them, ask your administrator.
  • Teaching items such as Mark Attendance and Diary appear only for teaching staff, and only for the classes and subjects you have been assigned.
  • Many items depend on what your institution uses. If you do not see this option, it may not be included in your plan or your role may not have permission; ask your administrator.

Steps

  1. Open the sign-in page your institution gave you. The screen is titled Staff Login.
  2. Enter your Staff ID and Password, then sign in.
  3. You arrive at your Dashboard.

Daily teaching work

  1. Under Academics, open Mark Attendance to record attendance for your classes.
  2. Open Diary to post homework and class notes, which families and students see in their portals.
  3. Use Timetable for your teaching schedule and Datesheet for exam dates.
  4. Enter results through the marks screen shown in your menu. In schools this is usually Marks Entry; colleges and universities running semesters see My Courses, Update Marks and Create Test instead.
  5. Where online learning is used, open Online Classes or LMS.

Your own HR records

  1. Under My HR, open My Payslips and My Loans to view pay details.
  2. Apply for leave in My Leave and check your record in My Attendance.
  3. Depending on what your institution uses, you may also see My Appraisals, My Interviews, Compliance Documents, My Training, Training Catalog, My Disciplinary and My Grievances.
  4. Keep your details current in My Profile, and find your files in My Documents.
  5. If you manage other staff, My Team shows the people who report to you.

Notices

  1. Open Notice Board from the main menu.
  2. Open attachments with View Attachment, and click Acknowledge when a notice asks you to confirm you have read it.

Good to know

  • Your top-right menu has Switch Session for viewing another academic session, and Logout.
  • If a class is missing from Mark Attendance or the marks screen, you have probably not been assigned to it yet. Ask your administrator to check your class and subject assignments.
  • Complaints is in the main menu if you need to raise an issue with the administration.
  • If you cannot sign in, the screen tells you to contact admin staff. An administrator can check your Staff ID and reset your password.
