Every campus runs its own day. Head office sees all of them.

Campuses keep control of their students, staff and fees. The group office gets one consolidated view, without waiting for each campus to send a spreadsheet.

Month end at a group head office

Each campus principal sends a spreadsheet. Enrolment, fee recovery, staff attendance. They arrive on different days in different layouts, one campus counts withdrawals differently from another, and the person consolidating them spends a week making the columns line up before anyone can ask what the numbers mean.

By the time the board sees the report it is three weeks old. A campus whose fee recovery dropped in the first week of the month has had three more weeks of it.

Scolvia runs every campus on the same platform with the same definitions. Each campus works on its own records; the group office sees them together, as they are today, compared on the same terms.

What it handles

What changes when every campus runs on the same platform.

Campuses, wings and regions

Organise the group the way it is managed: by region, campus and wing.

Consolidated reporting

Enrolment, attendance, fees and payroll across campuses, on the same definitions.

Shared settings, local control

Set group-wide standards centrally while each campus manages its own day.

Fees per campus

Campus-specific fee structures, with recovery compared across the group.

Group accounts

Each campus's income and expenses, viewable together.

Staff for the whole group

Staff records, leave and payroll at every campus, visible to group HR.

Student transfers

A student moving campus keeps their history instead of being re-admitted.

Common assessments

Shared exam schedules and results compared across campuses.

Access by campus

Campus staff see their campus; group roles see across the group.

The cases most systems get wrong for groups

The student who transfers campus. Their attendance, results and fee history should travel with them. When each campus runs its own system, the receiving campus re-admits them as new and the history stays behind.

The board asking for current numbers. Not the consolidation from last month, but where things stand now: which campus is behind on fee recovery, where staff absence is climbing. If the answer needs each campus to send a file, it arrives too late to act on.

The new campus. Opening one should mean copying the group fee heads, grading and report formats, not inventing them again. Campuses set up from the same standards can be compared from their first month.

The comparison that is not like for like. If one campus counts a withdrawal at the end of term and another the day the family leaves, their recovery rates cannot be compared. One platform means one definition, so the board compares campuses rather than counting conventions.

Who sees what

Access follows the role, from one campus to the whole group.

Administration

Group office and campus administration: each campus manages its own records; group roles see them together.

Staff

Staff: their classes, attendance, marks, leave and payslips at their campus.

Students

Students: timetable, results, attendance and fees, kept through a campus transfer.

Families

Families: their children at that campus, with fees, attendance and results.

How a group is set up

We set up the group structure first: regions if you use them, then campuses and their wings. Group-wide standards such as fee heads, grading and report formats are agreed once, and each campus keeps the settings that are genuinely local.

Campuses can move together or one at a time. Many groups start with a pilot campus, prove the rollout, and then bring the rest across with the same setup, so later campuses go live faster than the first.

Every campus is on shared infrastructure with strict logical separation, and one institution can never see another's records. We do not offer a dedicated database instance per institution today; our security page and a call under NDA cover the detail.

Questions group leaders ask

Can each campus set its own fees?
Yes. Fee structures can differ by campus while using the same fee heads, so recovery can still be compared across the group.
Can campus staff see other campuses?
No, unless their role allows it. Campus staff work on their own campus; group roles such as head office finance can see across campuses.
What happens when a student changes campus?
They are transferred rather than re-admitted, so their attendance, results and fee history go with them.
Do all campuses have to switch at once?
No. Many groups pilot one campus first and then roll out the rest using the same setup.
