Publishing result cards to families
Compute results from entered marks, print report cards, and publish results so students and parents can see them in their portal.
When marks are in, you turn them into a finished result for each student, print report cards, and publish. Nothing is visible to families until you publish, and you can unpublish at any time.
Before you start
- Marks for the exam should be entered, and ideally approved and locked.
- Choose what the report card shows under Examination > Settings > Report cards. Options include the student photo, attendance, overall position, class average and highest per subject, component breakdown, teacher and principal comments, behaviour ratings, a grading key and signature lines.
- You need access to Examination > Results. If you do not see this option, it may not be included in your plan or your role may not have permission; ask your administrator.
Steps
- Go to Examination > Results.
- Choose the Exam. Optionally narrow to one class with Class (optional).
- Click Compute Results. This works out each student's totals, grade, division and position from the marks entered. The results list shows Obt / Total, Grade, Division, Rank and Status.
- Check the figures. If any marks change later, the button shows Recompute (out of date); click it to refresh.
- To print, pick a report card layout under Print, such as Overview (one page) or Subject pages (a page per subject), then click Print Marksheets.
- Click Publish. Results become visible in the student and parent portals.
What families see
In the family and student portals, results are under Results, in the Examination Results section. Each published exam can be opened for its detail.
Good to know
- Publishing recomputes results first, so what families see always reflects the latest marks.
- Students with unpaid fees are withheld automatically. Their result is not shown in the portal and their printed document is held back. When the dues are cleared, publishing again releases the result.
- Families of students whose result is published can be notified automatically. Whether this goes by SMS, WhatsApp or app notification depends on your messaging setup, region and provider.
- Use Unpublish if you spot a mistake. Correct the marks, recompute and publish again.
- Results approved or published lock the exam's structure, so papers and components cannot be changed afterwards.
- To combine several exams into one final result, for example 20 percent midterm and 80 percent final, use Consolidated Results > Composed Results. Weight policies are set under Settings > Weight Policies.
- More documents to print, such as tabulation sheets and gazettes, are under Examination > Print Reports.
Common questions
A parent says they cannot see the result.
Check that the exam is published and that the student is not withheld for fees. The Status heading on the Results screen shows this.
Can I publish one class before another?
Compute and check every class before you publish, because families and students can see results once they are published.
