Entering marks
Enter exam marks paper by paper, record absences properly, and move marks through verification and approval.
After an exam is set up, marks are entered one paper at a time. Teachers usually do this from the staff portal, and the exam office can do it from the admin side. Once everyone has finished, the marks go through a short approval step before results are worked out.
Before you start
- The exam must be set up with its classes and papers.
- Teachers only see the papers and components they are assigned to. If a teacher cannot see a paper, check who is set as the examiner for that component in the exam's setup.
- If you do not see Marks Entry, it may not be included in your plan or your role may not have permission; ask your administrator.
Steps
- Open Marks Entry. In the admin area it is under Examination > Marks Entry. In the staff portal it is Marks Entry in the side menu.
- Choose the Exam, the class, the Section (optional) and the Paper. Each paper shows its maximum marks.
- Click Load Sheet. The class list appears with a Roll, Student and Status column.
- Choose one component at a time and type each mark. Press Enter to move to the next student. To mark script by script instead, choose All components.
- For a student who did not sit the paper, set the Status to Absent, Exempt, Leave or Medical instead of leaving the box empty.
- Click Save, or Save & Next to save and open the next component, then the next paper.
Approve the marks
- When all marks are in, open the exam from Examination > Exams and click Setup.
- In the Approval Workflow panel, use Submit for verification, then Verify marks, then Approve & lock. Each step is recorded with who did it and when.
Good to know
- A mark above a component's maximum is reduced to that maximum when saved, so a typing slip cannot inflate a total.
- How an absence affects the total is controlled in Examination > Settings.
- Components marked by grade rather than number show a list of grades to choose from instead of a number box.
- Approving locks the marks. To change a mark after that, raise a recheck under Examination > Exam Office > Rechecks, or have someone with permission use Reopen. A recheck keeps a record of who asked, who decided and what changed.
- If a whole paper was marked too harshly, the exam office can apply moderation from the Papers tab in Setup: add or subtract, scale, or cap marks. Each moderation run is listed and can be reversed.
- Approval steps may need a more senior role than marks entry, so the same person cannot always enter and approve.
