Printing ID cards and student documents

Print student ID cards for a whole class or a single student, and print profiles, certificates and letters from your document templates.

You can print identity cards for a whole class at once, print a single student's card or profile from the student list, and issue certificates and letters from templates you control.

Before you start

  • Card printing needs access to Student Cards, and documents need access to Student Documents. If you do not see this option, it may not be included in your plan or your role may not have permission; ask your administrator.
  • Upload student photos first. Cards print without a photo, but they are more useful with one. You can add a photo when admitting a student or from the student's record.
  • Check your institution's name and logo in your settings, since they appear on printed cards and documents.

Steps

Print ID cards for a class

  1. Open Students > Student Cards.
  2. In Template, choose a layout: Frontside (Portrait), Backside (Portrait), Frontside (Landscape), Backside (Landscape), Layout-2 (Portrait), Front + Back (Portrait) or Front + Back (Landscape).
  3. Narrow the list with Class, Section, Group and Gender as needed.
  4. Set the Validity Upto date that will appear on the cards.
  5. Pick a Background colour for the card design.
  6. Click Print. The cards open in a new tab, ready for your browser's print dialog.

Print for one student

  1. Open Students > Active Students and find the student.
  2. Click Print on the student's row.
  3. Choose Identity Card, Profile or Attendance Register.

Print a certificate or letter

  1. Open Students > Student Documents.
  2. On the My Documents tab, review your templates. Use New Document to create one (types include Certificate, Letter, Form, Award and Notice), Edit Template to change wording, Clone Into Editable Copy to adapt a standard template, and Print Blank Template for a blank copy.
  3. Go to the Issue Documents tab.
  4. Choose the student and the document in Select Document, and fill in any extra fields the template asks for.
  5. Click Issue to issue and print, or Print Only to print without recording an issue.

Good to know

  • Print to PDF from your browser if you want to send cards to an outside printer.
  • Before a large print run, print one page on plain paper to check the alignment against your card stock.
  • Standard templates provided with the product must be cloned before you can rename or edit them. Your own templates can be renamed directly.
  • Issued documents are listed with a number and issue date, so you have a record of every certificate given out.
  • Staff ID cards are printed separately, from the staff section.
  • Exam admit cards are printed from the examination screens, not from Student Cards.

Common questions

A student's photo is missing on the card. What do I do?

Upload the photo to the student's record, then print that student's card again from the Print menu in Active Students.
