Passwords and login security
Change your own password, reset a colleague's, disable logins for people who leave, and keep accounts safe with a few simple habits.
Your login protects records about children, families and money. This article shows how to change your own password, how an administrator resets other people's passwords or turns off their access, and the habits that keep accounts safe.
Before you start
- Anyone can change their own password from their profile.
- Resetting other team members' passwords, and managing the team list, is done by the administrator.
- Changing staff passwords from the staff list needs permission in the staff module.
If you do not see this option, it may not be included in your plan or your role may not have permission; ask your administrator.
Steps
Change your own password
- Click your name at the top right and choose My Profile.
- Find the password section (Change your password.).
- Enter your Current Password, then your New Password, and save.
- If the current password is wrong, nothing changes and you are told so.
Staff, students and families can change their own password in the same way from the profile page of their own portal.
Reset a team member's password
- As the administrator, go to Team Management > Team.
- Find the person and choose Change Password.
- Enter the new password and save. Give it to them privately, and ask them to change it from My Profile after they log in.
Reset a staff member's portal password
- Open the active staff list in the staff module.
- Open the options menu on the staff member's row and choose Change Password.
- Enter the new password and save.
Turn off access when someone leaves
- For a team member, use Disable on their entry in Team Management > Team.
- For a staff member's app access, choose Disable App Login from the options menu on their row. Enable App Login turns it back on.
- Do this on their last day, not when you next remember.
Reissue student or family passwords in bulk
In campus settings, the administrator can use Re Assign New Password to Family or the matching option for students. This replaces every existing password in that group, so plan how you will share the new ones before you use it.
Good to know
- There is no self-service password reset link on the login page. If you forget your password, ask your administrator. If you are the administrator, contact support.
- Use a password you do not use anywhere else, and make it long. A short phrase of several unrelated words works well.
- Never share a login. Give each person their own account with only the permissions they need, so the activity history shows who actually did what.
- Log out on shared computers, such as the front office or staff room.
- Review the team list each term and disable anyone who no longer works with you.
- Administrators can review account activity under Team Management > Activity Log.
Common questions
Can a parent reset their own forgotten password?
Not from the login page. The school resets it, either for that family or for all families from campus settings.
