Correcting a past attendance entry

Fix a wrong attendance mark from an earlier day with a correction request, which is recorded with a reason and approved before it applies.

A correction changes an attendance mark for an earlier date, for example a student marked absent who was actually on a school trip. Corrections go through a request and approval, so every change has a reason and a person behind it.

Before you start

  • You need permission for leave requests to create and approve corrections from the admin panel.
  • Know the person, the date and the status it should have been.
  • Check whether the month is locked. Ask whoever closes attendance or payroll before unlocking it.

If you do not see this option, it may not be included in your plan or your role may not have permission; ask your administrator.

Steps

Create a correction

  1. Go to Attendance > Leave Requests > Corrections.
  2. Open the New Correction tab.
  3. In For, choose student or staff, then select the person.
  4. Pick the Date and the status in Correct To: present, absent, late, leave or half day.
  5. Enter the Reason, explaining why the correction is needed, and save.

Approve or reject it

  1. Open the Correction Requests tab. Filter by type and by Pending.
  2. Check the person, date, requested status and reason.
  3. Click the tick to Approve & Apply, or the cross to Reject.

Approving changes the attendance record for that date straight away.

Staff asking for their own correction

  1. In the staff portal, the staff member opens My Attendance and clicks Request Correction.
  2. They choose the date, the correct status and explain why it should be corrected.
  3. The request appears in Correction Requests for you to approve or reject.

Good to know

  • Locked months. An administrator can lock a month in Attendance Settings under Locked Periods, usually after payroll or reporting is final. Attendance in a locked month cannot be marked again from the daily screens. Unlocking uses Unlock (Re-Open) This Period, and both locking and unlocking are recorded.
  • Today is simpler. For today's attendance you can just mark the correct status again on the daily screen.
  • Approved means applied. A request already approved cannot be approved twice. To reverse it, raise a new correction with the original status.
  • Whole days of leave. If someone was on authorised leave for several days, a leave request is usually better than separate corrections.
  • Families. If the family was already told about an absence that turns out to be wrong, let them know it has been corrected.
