Setting up classes, sections and subjects
Create your classes, split them into sections, and add the subjects each class studies, so attendance, timetables and exams have something to work from.
Classes, sections and subjects are the base of every academic screen. Attendance, the timetable, the diary, exams and the LMS all ask you to pick a class, a section or a subject, so set these up first, at the start of each academic year or when you open a new campus.
Before you start
- Your campus and working session should already be set up. Classes belong to the working session shown at the top of the side menu.
- Add your staff first if you want to name a class incharge or section incharge.
- You need access to the Classes and Curriculum menus. If you do not see this option, it may not be included in your plan or your role may not have permission; ask your administrator.
Steps
1. Create the classes
- Go to Classes > Class List.
- Click Add New Class.
- Enter the Class Name, for example Grade 5. Add the standard class fee for new admissions, and a total capacity if you want an intake limit. Leave capacity empty for no limit.
- Optionally choose an Incharge and an Assistant Incharge, and the Exam Marking System the class uses.
- Save. Repeat for every class. Use Update Class Sequence to put classes in the order you want them to appear in lists.
2. Add sections
- Go to Classes > Sections and click Add New Section.
- Choose the Class, then enter the Section Name, for example A or Blue.
- Optionally set a Capacity, a Section Incharge, an assistant and a Room. Rooms come from Classes > Class Rooms, so add those first if you want to use them.
- Save, then repeat for each section.
3. Add subjects
- Go to Curriculum > Subjects and click Add New Subject.
- Enter the subject name and choose the Class it belongs to.
- Fill in what applies to you: Course Code, credit hours, Passing Percentage, Course Type, and Group(s) if only some students take the subject.
- Save. Add each subject for each class that studies it.
Good to know
- Section capacity is shown against current strength, and the list flags a section that is over capacity. This helps when you balance admissions.
- Subject groups are useful for streams such as science and arts, where only part of a class takes a subject.
- Open a subject to build its units, topics and lesson plan. That is covered under curriculum planning.
- Colleges and institutes that run programs rather than classes use Academic > Programs and Batches. The main menu heading shows whether your campus is set up as a school or a college.
- Do not delete a class that already has students or records. If you need to combine two classes, use Merge Class from the class list instead.
Common questions
Do I have to set up classes again every year?
Classes belong to a session. When you start a new session, check that your classes and sections are in place before promoting students into it.
Can two classes have a subject with the same name?
Yes. Add the subject once per class. Each one keeps its own teachers, lesson plan and marks.
